Privacy notice,
how we look after your information
This notice explains how the National Tongue Tie Centre (NTTC) collects, uses and protects personal information about parents, guardians, patients and visitors to this website. It is written for parents and guardians, because most of our patients are children.
Effective date: 4 October 2026The data controller is Dr Justin Roche
www.tonguet.ie (the Site) is owned and operated by Dr Justin Roche, who is the data controller for the National Tongue Tie Centre. You can contact him at [email protected], on +353 52 610 8009, or by post at National Tongue Tie Centre, Amber Hill, Park, Knocklofty, Clonmel, Co. Tipperary, E91 F8X8.
NTTC provides assessment and treatment for babies, children and adults at clinics in Clonmel, Co. Tipperary and Caragh, Co. Kildare, and online consultations for families abroad. This notice applies in addition to the terms and conditions of our Site.
Information about you and your child
We only collect information that helps us provide care, run the service and look after this Site.
- About you as parent or guardian: name, contact details, address, country of residence and payment details.
- About your child: name, date of birth, feeding and medical history, examination findings, treatment records, recordings and photographs taken as part of care, and reports from other practitioners.
- Forms you complete: intake and history forms and consent forms.
- When you use this Site: IP address, location, hardware and software details, links clicked and content viewed.
Information about your child's health is special category data. We handle it with extra care.
Our reasons and legal basis
- To assess your child, provide care and keep clinical records. Our basis is the provision of healthcare under Article 9(2)(h) of the GDPR, together with our contract with you.
- To book appointments, take payment and keep financial records. Our basis is contract and legal obligation.
- To share information with other practitioners involved in your child's care, such as your own therapists or GP. We do this with your explicit consent, which you can withdraw at any time.
- To record the physical examination and take photographs or video. We ask for your agreement first, and we note it in the record.
- To use recordings or photographs for teaching or marketing. We do this only with your separate written agreement on our consent form. You can refuse or withdraw without affecting your child's care.
- To understand how the Site is used, using analytics cookies (see Cookies below).
Note taking, recordings and photographs
We do not keep video recordings of online consultations. We use an AI-assisted transcription tool, Heidi, which processes the audio of your appointment and the forms you have completed to produce a draft clinical note. Your clinician checks the note before it is saved. The first clinician you see asks for your agreement at the start of the appointment, and you can ask us not to use the tool. Heidi processes data in the EU and does not use consultation data to train its models. Transcripts and notes held in Heidi are deleted after 90 days. The final note is saved in your child's clinical record.
Dr Roche records the physical examination so that findings are accurately documented and treatment can be planned. The recording forms part of your child's clinical record. Only clinical staff can open it. Clinical photographs are kept in the same way.
Who we share it with
Only people who need it to care for your child or run the service, and members of our team who are bound by confidentiality. We also use service providers who process information on our behalf. Each is covered by a data processing agreement.
- Cliniko, for appointments and clinical records. Data is stored in the EU. Online booking appears within our Site, so your booking details go directly to Cliniko.
- Heidi, for clinical note transcription, as described above.
- Google Workspace, for email.
- Kajabi, which hosts this Site.
- Our payment provider, which processes payments only and receives no clinical information.
We do not sell your information. We disclose it to others only if the law requires it, if it is needed for a legal proceeding, or to prove or protect our legal rights. We are not responsible for the privacy practices of other websites you reach through links on our Site.
Transfers outside the EU and EEA
Our clinical records in Cliniko and our transcription tool are in the EU. If you live outside the EU or EEA, or if one of our other providers, such as Kajabi or Google, processes information outside it, your information moves across borders. We rely on adequacy decisions, standard contractual clauses and other safeguards to protect it.
Please keep medical details out of first emails
Email is not a fully secure way to send information. Please do not include medical details in your first email. After you book, you complete a secure intake form. Our enquiry inbox, [email protected], can be read by members of our team, who are all bound by confidentiality.
Keeping and protecting your information
- Children's clinical records, including examination recordings and photographs held in the record: until the child is at least 26.
- Transcripts and notes held in Heidi: 90 days.
- Financial records: 6 years, as Revenue requires.
We use browser encryption and store information on secure systems. Access is limited to staff who need it, and our staff are bound by strict confidentiality agreements. While we take all reasonable precautions, the internet is not always secure, so we cannot guarantee the security of information beyond what is reasonably practical.
What you can ask us to do
Under the GDPR you have the right to be informed, to see the information we hold, to have it corrected or erased, to restrict or object to its use, and to receive it in a portable form. You can withdraw any consent you have given. Our duty to keep clinical records may limit erasure. As a parent or guardian you can exercise these rights for your child. To do so, contact Dr Justin Roche at [email protected].
If you have a complaint, please contact us first so we can try to resolve it. You also have the right to complain to the Data Protection Commission at dataprotection.ie, or to your own data protection authority if you live elsewhere.
